Google Drive and Dropbox files, inside Documents

Two copies of a file is one too many
Most businesses already keep something in Google Drive or Dropbox: drawings, rate cards, certificates, signed contracts. Getting them into a CRM has always meant downloading and re-uploading, which produces a second copy that is correct on the day it was made and quietly wrong afterwards. Somebody edits the one in Drive, and the one on the record stays as it was, and nobody can say which is real.
Linking, not copying
Open Settings → Integrations → Google Drive (or Dropbox), connect your account, and Documents gains a way to link files in. The file stays where it is. Documents keeps a pointer, so opening it here always shows the current version: edit it in Drive at four o’clock and that is what the person who opens it here at five sees.
Nothing is written back. No renaming, no deleting, no uploading into your Drive or Dropbox. The link reads and that is all it does.
Google cannot see your Drive
This is worth spelling out, because most integrations of this kind ask for the lot. JAI CRM asks Google for the narrowest access it offers: reach only the files you hand over, one at a time, through Google’s own file picker. Everything else in your Drive stays invisible to us, including the names of the files.
That is why choosing a Drive file opens Google’s picker rather than a browser of our own. There is nothing for us to browse until you have chosen, and choosing is the permission. Dropbox works the other way round and is browsed from inside JAI CRM, folder by folder.
Sharing stays yours to decide
A linked file follows the same folder rules as one uploaded here. Who could see it on Drive or Dropbox makes no difference to who can see it in JAI CRM, and vice versa.
It is read through your connection, so disconnecting stops linked files opening for everybody they were shared with, until it is connected again. Nothing is deleted, here or there. The settings screen says so before you do it.
Does this affect anything existing?
No. Both plugins are off until somebody switches them on, files already in Documents are untouched, and connecting an account changes nothing about what is already stored here. Since 7 Oct 2026 Google Drive and Dropbox are integrations, free on every plan, in Settings, Integrations.
A file that is already linked cannot be linked a second time: the picker shows it as already in Documents and will not let you tick it. Two copies of the same document drifting apart in name and tags is the exact problem this was built to stop.

What about storage?
A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.
Annual or monthly?
Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
