An assignment rule can now act when a record is corrected, and five more modules can be routed

Assignment rules only ever ran the moment a record was created. So a lead logged as a walk-in that turned out to have come from an ad stayed where it was, however you corrected it. Rules now say when they run and what an edit means, and five more modules can have them.

What was wrong

Assignment rules decided an owner at one moment only: when the record was created. Everything after that was somebody else’s problem.

That is fine until the record was filed wrong. A lead taken down as a walk-in, which an hour later turns out to have come from an ad, is a lead your routing rules would have claimed, and correcting the source did nothing at all. Nothing was broken and nothing failed; the rule simply had no moment at which to look again.

Every rule now says when it runs

There is a new setting on each rule, Apply it, with three answers: when a record is created, when a record is edited, or both. It sits on the rule, so two rules on the same module can behave differently.

Every rule you already have reads “when a record is created”, which is exactly what it already did. Nothing changed behaviour on its own, and nothing was reassigned when this shipped.

What “on edit” means, precisely

◉

It acts on the change

The record must not have matched the rule before you pressed Save, and must match it now. Changing a source to one a rule claims fires it.

⚑

A correction never moves it

Fixing a phone number on a lead the rule already matched does nothing. The owner is left exactly as it was.

✓

It never takes a record back

Editing a record so it stops matching does not undo anything. A rule hands work out; it does not reclaim it.

Which of the two to choose

Ask what should happen when somebody has deliberately moved a record and it is then saved again. Every time means the rule is the final word. That is right when it expresses a standing arrangement, such as every enquiry from an ad belongs to the ads desk, whoever has touched it since. Only when it newly matches means the person’s decision is the final word, and the rule steps in only when something genuinely changed into its territory.

One thing to watch on every time: where an entry names several people it hands records out in turn, so each save moves the record on to the next of them. The screen says so where it applies. On an entry with no conditions (one covering every record), that means every save in the whole module.

Whichever you pick, handing somebody a record by name in that same save still wins: the person doing it has decided, and no rule overrules them. Reassigning in bulk is not touched at all.

Five more modules can be routed

Assignment covered seventeen modules and now covers twenty-two. The new ones are purchase orders, purchase bills, debit notes, delivery challans and manufacturing orders.

All five already recorded an owner; they had simply never been offered on the Assignment screen. So a business can now say which buyer answers for which purchase order, or which supervisor answers for a production run, the same way it already could for quotations and leads.

Files are deliberately still excluded. A file records who uploaded it, but Documents already has folder permissions of its own, and two systems deciding who may see one file is worse than one.

Does this affect anything you already have?

No. Every existing rule kept running exactly as before, on create only, and no record was reassigned. The second setting only matters once you move a rule off when a record is created, so nothing you have today is touched by it either.

The five new modules have no rules until somebody writes one, and until then a purchase order belongs to whoever raised it, as it always has.

As before, every decision is written down (which rule, which person, and why), so both “why did I get this” and “why did nobody get it” still have an answer.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
