Taking access away now works, for a role or for one person

Unticking something on the Administrator or Manager role saved and changed nothing, and there was no way to give one person less than their role. Both now work, and nobody's access changed on the day.

What was wrong

The standard Administrator and Manager roles carry a grant for each whole module, behind the ticks you see. That hidden grant answered yes whatever the ticks said, so unticking Delete on leads for the Manager role saved, showed as unticked, and still let every manager delete leads.

On Settings → Users → Permissions you could give one person more than their role, but never less. There was no way to say “the same as Sales, but no delete”.

Three smaller things: the IndiaMART and Just Dial pages listed every caller’s name to anyone who could open them, even people allowed to see only their own leads; the Manage tick on set-up permissions was hidden behind “Show every action”; and switching a plugin on for the first time asked whether to keep permissions nobody had set.

What changes

✓

A tick is the answer

What you tick on a role is exactly what that role may do on that screen. Untick something and it is gone.

👤

Less for one person

On a person’s Permissions tab, untick anything their role gives to take it away for them alone. It shows struck through in red; what you add for them shows in green.

🔒

Their own records only

You can narrow one person to their own records on a screen where their role sees the team’s or everyone’s.

👁

Private caller lists

The IndiaMART and Just Dial pages show each person only the callers whose leads they may see. The rest read “A lead given to someone else”, with no name or number.

Also

Manage is always shown on permissions that are only View or Manage, such as IndiaMART, Just Dial, Shopify, Google Drive and Dropbox set-up.

Four supervisor powers can now be granted from the Roles screen: switching Quality between simple and advanced view, logging time for somebody else, being a documents administrator who sees every file, and changing notification settings. Until now only a role with hidden full access to the whole module, such as Administrator, could do these, and nothing on screen said so.

While Manage is ticked, the other ticks on that line show as included in it, because Manage allows everything. Untick Manage first to take one of them away.

Clearing every tick on a screen now stays cleared. On a standard role it could be put back by the next update.

The “switch back on” question on the Plugins screen appears only when a plugin comes back after being switched off, not the first time you switch it on.

Does this affect anything you already have?

Nobody’s access changed. Before switching, every role’s hidden whole-module grant was written into its visible ticks, and every role in every business was checked: each screen and each action answers exactly as it did before.

So the Administrator and Manager roles may now show a few more ticks than before, for things they could always do. If one of them should not be there, untick it, and this time it goes.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
