One list of purchase bills, in Procurement

Books and Procurement each kept a list of supplier bills, so the same invoice could be entered twice. Now there is one list, the way Tally, Zoho Books and Odoo keep it. A bill carries items or a plain amount, files each line under a category, takes the vendor's bill number and date, and refuses the same supplier invoice twice.

Why it changed

Books had a Purchase bills list of its own, kept with the expenses, and Procurement had another. Nothing stopped one supplier invoice going into both, which counts it twice in what you owe and claims its GST input credit twice. Every accounting tool we compared, Tally, Busy, Zoho Books and Odoo, keeps one register of supplier bills.

What is new

📋

One list

Purchase bills are one list, in Procurement. Bills already in Books have moved into it with their numbers, amounts, TDS and categories. A business with Books but not Procurement finds the list under Books.

🧾

Items or a plain amount

A line can be an item with its quantity, HSN and GST rate, or a description and an amount for a service such as hosting or freight.

🗂

A category on each line

Rent, hosting, freight: each line keeps its own row in profit and loss instead of counting as Supplier bills.

🔢

Vendor bill no. and date

The supplier’s own invoice number and date, searchable in the list, and what Tally reads as the bill reference.

The same invoice twice is refused

The same supplier with the same vendor bill no. cannot be entered twice, whoever enters it and wherever. Spaces and capitals are ignored when matching, and a cancelled bill does not count.

Also fixed along the way

Input tax credit can be claimed is now a switch on each bill, under More tax options, for blocked credit. The GST summary and profit and loss read it. Every bill used to be assumed claimable.

A reverse-charge bill now counts in GSTR-3B. Its tax was read from the wrong total and left out.

Posting a goods receipt with Raise the purchase bill ticked now raises a draft purchase bill at the order’s prices and GST, linked to the order. It used to raise a bill with no GST.

The Expenses badge in the sidebar counts expenses only. It was counting salary entries and bills as well.

The figures above the purchase bills list show the value and what is outstanding. They read 0 before.

Does this change anything you already have?

Your bills from Books are now in Purchase bills, with the same numbers, suppliers, dates, amounts, TDS and categories. What was paid on them stays paid. Expenses are unchanged. A moved bill is paid the way every purchase bill is, from the bill itself or from Payments made.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
