A new lead no longer belongs to whoever happened to create it

Until now the owner of a new record was whoever created it, which is right when somebody types a lead in after a call, and wrong for an overnight import or an enquiry that arrived at 2am. Settings now has an Assignment screen.

The problem it solves

A lead typed in after a phone call belongs to the person who took the call. That is the only case the old behaviour got right.

An enquiry pulled in from IndiaMART overnight belonged to whoever the integration named, or to nobody. A spreadsheet of four hundred leads all belonged to whoever pressed Import. Neither is an answer anybody wants, and both are the cases where a lead goes cold because no name was against it.

Rules, tried in order

A rule is a list of entries. Each entry says which records it covers (all of them, or ones matching conditions you build the same way you build a filter anywhere else) and who it hands them to.

An entry can name particular people, everyone in a role, or everyone in a group. Where more than one person is named they are given records in turn, so the work is shared rather than landing on whoever is alphabetically first.

The first entry whose conditions match decides it, so specific rules go above the catch-all. And an owner sent in explicitly always wins: a rule never overrides somebody who said whose it is.

Thresholds, so nobody is buried

◉

A cap per person

The most any one person is given per day, week or month. Anybody at their cap is skipped and the record goes to the next candidate.

⚑

A cap on untouched work

Optionally, how many leads somebody may be sitting on that nobody has rung. Usually the more useful of the two.

Somewhere for the overflow

A named owner catches anything no rule claimed, or that arrived when everybody was full.

A manager sets it for their own team

This is the part worth reading twice, because it is what makes the screen safe to hand to somebody other than an administrator.

What you can set is bounded by your organisation tree. A sales manager writes rules for the people who report to them and cannot reach another team: not to assign to them, and not even to see that team’s rules, because a rule tells you how a team is organised and who is carrying what.

An administrator sets it for anybody. Naming a whole role or group is checked against the people inside it rather than the label, so one person you do not manage cannot be reached by the back door.

It is the same reporting structure the rest of the product already uses for who sees whose records. There is no second place to keep it in step.

Does this affect anything you already have?

Nothing changes until you write a rule. With no rules, a new record belongs to whoever created it, exactly as before.

No existing record is touched. Rules decide the owner of records created from now on; nothing is reassigned retrospectively.

Every decision is written down (which rule, which person, and why), so “why did I get this one” and “why did nobody get it” both have an answer.

Two things we deliberately did not copy from the products that have this: assignment by whether somebody is currently logged in, which is a weak signal, and automatic re-allocation on a timer, which is where those products document a runaway loop.

Pricing

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
