Raised from a lead, and then gone

A quotation is often the reason a lead becomes a customer. Raising one from the lead created it and then lost it.

What was happening

Press New quotation on a lead, fill it in, press Create and open. The quotation was created (the server said so) and then it was nowhere. Not on the lead’s Quotations tab, not attached to anybody, and if you found it by another route it would have printed with no name and no address on it.

The same was true of sales orders, proforma invoices, invoices and credit notes. Measured before the fix: fifteen of fifteen checks failing on leads. Everything raised from a customer worked correctly, which is why this went unnoticed.

Three faults, one cause

⚯

The link was dropped in silence

The payload has always accepted the lead, and the document table has carried the column since it was written, with a note explaining that a quotation may be raised before the lead becomes a customer. The allow-list every write passes through was never told. So the link went in and did not come out.

▤

So the record was right to show nothing

The lead’s Quotations tab looks for documents pointing at that lead. None of them pointed anywhere.

✎

And the document had nobody on it

The name and address are copied onto a document when it is raised, from the customer. With no customer, that came back empty. The quotation would have gone out addressed to nobody. It now falls back to the lead: company, contact, email, phone, address.

Proforma invoices, while we were there

A proforma invoice had no tab on a lead or a customer, and no way to raise one from either: the one sales document nobody had added to the lists. It has both now, and it is in the + New menu with the rest.

That menu offered only Quotation and Invoice under Documents. Sales orders, proformas, credit notes and delivery challans were reachable only by navigating to their own list first. All six are on it now, each shown only to somebody permitted to raise it.

Does this affect anything existing?

Documents raised from a lead before this fix exist but are not attached to anything. They keep their numbers and their figures; they simply have no record pointing at them. If you have one, open it and set the customer, or raise it again from the lead now that it works.

Nothing raised from a customer is affected: that path was correct throughout.

The whole chain is now checked on every build: five document types, two record types, link stored, addressed to somebody, and visible on the tab it belongs to.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
