Folders and sharing

Uploading, organising, and controlling who can reach what.

Sharing is inherited: what you grant on a folder applies to everything inside it, including files added later. That is the useful behaviour and the dangerous one, so it is worth understanding before you share a top-level folder.

Steps

  1. Go to Documents and create a folder.
  2. Upload files, or drag them in.
  3. Open the folder and choose Share.
  4. Add people or roles, and set whether they may view or edit.
  5. Everything inside now follows, including anything added afterwards.

Checking who can reach something

Open any file and the sharing panel shows who can reach it and where that access came from — granted on this file, or inherited from a folder above it. This is the answer to “who can see this?”, which on a shared drive usually has no answer at all.

Removing access at the folder removes it everywhere below. That is normally what you want when somebody leaves a project — do it at the folder rather than file by file.
