A card taken at a stall becomes a lead, a customer or a supplier when it is filed from the exhibition’s review queue. Four things are set on the record at that moment, and they are set the same way whichever of the three it becomes.
Who owns it
The person who met them, unless an assignment rule picks somebody else. The person who met them is the name on the Scanning as line of the scan screen, or whoever was signed in on the phone when nobody else was named. So a temp scanning on a shared stall phone does not end up owning every lead.
- If an assignment rule for leads, customers or suppliers matches the card and names somebody, that person owns it, and the assignment log records the rule.
- If no rule matches, or every person a rule names is at their limit, the scanner keeps it. The business’s default owner from Settings, Assignment does not take cards.
- The rules see the record as it will be written: name, company, email, phone, mobile, designation, website, city, state, source and tags. A rule such as Source is Exhibition, City is Pune or Tags contain Pune Pharma Expo therefore works.
Its source
Leads and customers made from a card get the source Exhibition. A customer now shows its Source on its form, from the same list as a lead’s, and a lead that is converted carries its source to the customer.
The exhibition tag
The record is tagged with the name of the exhibition or folder the card was in, together with the exhibition’s own tags and anything tagged on the card itself. That makes every list, filter, pivot and export in the product able to find the people from one exhibition.
Rename the exhibition or folder and the tag follows, on the records met there and nowhere else: records credited to it, records its cards became, and people recorded at its stall. A customer who happens to carry the same word for another reason is left alone.
The Event field
Leads, customers and suppliers show an Event field: the exhibition they were first met at, opening that exhibition. It is what decides which exhibition their business is credited to (see Where every figure comes from), so it cannot be edited on the record. It keeps the exhibition’s current name when the exhibition is renamed. The Event field kept its name when the module became Exhibitions; like any built-in field, it can be renamed in Settings, Fields & rules.
Somebody you already had
Two things link a record you already had to an exhibition: a card matched to it in the review queue, and Met at the stall. Either way the record gains the exhibition’s tag. If it has no exhibition yet, the exhibition is written on it as well, so its new deals and invoices inside the exhibition’s window count towards that exhibition. A record that already belongs to an earlier exhibition keeps it: last year’s return does not change because they walked past this year’s stand.
In the review queue, a card that looks like somebody you already have says so above the photograph, with what matched: the same GSTIN, email or phone. For a lead, customer or supplier the note has It’s them: link. Press it, confirm, and the card is filed as that record: no second record is made, and the card moves off the stack. A match on a company only means they work for a firm you know, so it has no link.
They appear in the exhibition report under People who came back, by name.
Records filed before 4 October 2026
Records filed from cards before the exhibition tag existed were given it on 4 October 2026: every lead, customer and supplier a card became or was matched to, and the customer a card’s lead was converted into. Only tags were added; owners, sources and the exhibition each record is credited to were left as they were.
An example
At Pune Pharma Expo, Priya scans 38 cards on the stall phone, which is signed in as Rohan, with the Scanning as line set to Priya. The next day Rohan files them from the review queue. The business has one rule, Company contains Hospital to Neha. The four hospital cards go to Neha; the other 34 go to Priya, not to Rohan and not to the default owner. All 38 carry source Exhibition, the tag Pune Pharma Expo and the Event field. In April the exhibition is renamed Pune Pharma Expo 2026, and the tag on those 38 records changes with it.
