A trigger is an event worth telling somebody about. Keeping the list short is the whole discipline — a system that notifies about everything gets filtered to a folder within a fortnight.
Steps
- Go to Notifications → Templates.
- Pick the event — an invoice going overdue, a lead untouched, a quotation about to expire, stock below reorder, a document approved.
- Choose who receives it: the record’s owner, a role, specific people, or the customer.
- Write the subject and message. Insert fields from the record so it reads like a real message.
- Turn it on.
Checking it went
The send log shows every message, who it went to and whether it was delivered. If mail is not configured, messages are produced and logged rather than sent, so you can see exactly what would have gone out.
Start with two. Overdue invoices and untouched leads cover most of the value. Add more only when somebody asks for one.
