The vendor desk: a pipeline that moves itself, and a block that blocks
Two of the seven stages were never decisions anybody makes, and both were being asked of a person.

The stages that move themselves
A vendor is active because work happened. A vendor has gone quiet because none has for a while. Neither is a judgement somebody sits down to make, and asking for them by hand produces an approved list that comes to mean “everybody we have ever cleared” rather than “the ones we work with”.
An order, a bill or a payment now makes a vendor active and says so on the record with the reason. An approved vendor with nothing raised, billed or paid for however many days you set moves to inactive overnight. Nothing is lost, the record and its history stay exactly as they are, and any work at all brings them straight back. Zero days leaves it to you.
Blocked now blocks
It was a label on a screen. An order, a bill and a payment could all be raised against a blocked vendor, they could be put on a project, and the reason recorded for blocking them never reached the person about to commit. All four are refused now, and the reason is in the refusal. The same guard stops a vendor nobody has approved, which is what approval is for.
The record
Eight tabs, not a drawer
A drawer holds a form. It cannot hold the form and the thread and the orders and the bills and the documents and the history beside it, which is what anybody opens a vendor to look at.
One thread, both directions
The vendor writes from their portal, you reply from the record, and it is one conversation rather than an email in somebody’s inbox that the next person cannot find.
A term per service
A studio that designs by the project and edits by the hour has two arrangements with one supplier. The term sits on the service, not on the vendor.
Who changed the rate
Every change to a vendor, what it was before, what it is now, who did it and when.
What they may see
A portal role (a decision made once) with four switches on top: open the orders raised against them, send bills in, see whether they have been paid, write to you. The two agreements are recorded as dates, because “they agreed” is worth little without when.
Orders the other way round
Procurement lists purchase orders as documents. A vendor desk asks who we are buying this from, at what, and how much is still open, so the same orders group by vendor, by what was ordered, by status or by month.
And an export that exports what you ticked
Every list in the product handed back every field it had, whatever columns were on screen, while the comment above the code said it exported what the list shows. It does now: the columns you have ticked, in the order you arranged them, including the figures a list works out rather than stores.
Does this affect anything existing?
Vendors created since the pipeline changed were being saved with a status that stopped being one of the stages, so they appeared in none of the lists. They are collected as prospective, as they should have been.
Nothing moves to inactive until you set the number of days, on Vendors → Master data. Existing vendors keep their status, their documents and their history.

5 GB storage per workspace (organisation)
Only want this one module?
Individual modules are sold on their own alongside the plans. See every module’s price.
What about storage?
A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.
Annual or monthly?
Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
