A warranty register that writes itself

Set a warranty period on an item, and selling it raises the warranty on its own, dated from the invoice, one per unit, with a report of what is about to run out.

The register nobody keeps

If you sell anything with a warranty on it, you have a warranty register somewhere. Usually it is a sheet with a customer name, a serial number and two dates, kept by whoever remembers, and wrong by the second month, because keeping it means somebody typing out, after every sale, facts the invoice already knows.

When a customer rings up eighteen months later and says the machine has stopped, the question is simple and the answer is a search through old invoices.

It comes from the sale

On an item in Inventory there is now a warranty period: a number and a unit, so “90 days”, “18 months” and “3 years” are all enterable without anybody converting anything. Leave it blank and that item is sold without one.

Fill it in, and invoicing that item raises a warranty automatically: one per unit, carrying the serial number where the goods are serial-tracked, dated from the invoice. Nothing is typed, which is the whole point: a register kept by hand is a register that is wrong.

The record carries the product with its photograph, the customer, the serial, the invoice number as a link you can click, the invoice date, and when cover runs out.

Two words that are not the same thing

A warranty has a standing (what you decided about it): active, claimed against, or voided. And it has cover today: whether it is live this morning, which the end date decides and nobody sets.

Keeping those apart matters more than it sounds. Expired is not something you choose; it is something the calendar does. So it is not in the dropdown, and it is worked out fresh every time a screen is drawn, which means the register cannot show a green “Active” beside a row saying cover ended eighty-four days ago, and there is no nightly job to go wrong.

The end date is not typed either. It is the start plus the term, recalculated whenever either changes. A warranty that expires the day before it began is not a thing anybody should be able to save.

What is about to run out

Running out lists what expires and when, grouped into already gone, this week, this month and later, with the customer and their number beside each one. It is read for one reason: somebody is about to lose their cover, and this is the moment to offer them an extension, a service contract, or a replacement.

Customers and leads both grow a Warranty tab: what of theirs is still covered above, what has lapsed underneath. Two lists rather than one sorted by date, because they answer opposite questions: are we on the hook for this repair, and is there something to sell.

Does this affect anything existing?

No. Items without a warranty period behave exactly as they did and raise nothing. No existing invoice, item or customer was changed, and no warranty is created for anything sold before the item carried a period. The register starts from the day you fill one in.

Warranty is its own module and needs Inventory, because a warranty is a promise about goods. Switch it off and nothing else notices.

Per user, per month. Every plan carries the whole product’s foundations (custom fields, roles, reports, documents and notifications) and differs only in how many modules are switched on. Change plan whenever you like; nothing is re-entered and nothing is lost.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
