Returned goods on credit and debit notes

Goods a customer brings back go into stock with the credit note; goods you send back to a supplier leave stock with the debit note.

A credit note or debit note is often about goods that physically moved: a customer returned two cartons, or you sent a damaged batch back to the supplier. Tick Goods on the note and the stock follows it.

  1. Open the credit note or debit note, new or still a draft.
  2. Under Goods, tick Came back from the customer (credit note) or Sent back to the vendor (debit note).
  3. If you have more than one warehouse, choose which one. Left empty, it is the default warehouse.
  4. Issue the note. The item lines move stock then, not before.

What moves, and when

  • Only items you keep stock of. Services and lines with no item are left alone.
  • A debit note takes the goods from wherever they sit in that warehouse, fullest bin first. If there are not enough in stock, it is not issued and says how many there are.
  • A credit note puts the goods into the warehouse without a bin, ready to be put away.
  • Editing an issued credit note changes the stock by the difference. Cancelling or deleting a note puts the stock back exactly as it was.
  • Each movement shows in the item’s stock history with the note’s number.

Leave Goods unticked for a note that only corrects a price or a discount. Items tracked by serial number cannot be returned through a note, because a note cannot name the units; use a stock adjustment that names them.
