Write a manual journal

An accrual, a correction, a reclassification: debits and credits written by hand, and the rules they follow.

Almost everything in the books is written by JAI CRM itself: invoices, bills, payments, expenses and salaries post their own entries. A manual journal is for the rest: an accrual at the month end, a correction, money moved from one account to another inside the books.

Write one

  1. Open Accountant, Manual journals and choose New journal.
  2. Enter the date, a reference if there is one, and a narration saying what it is for.
  3. On each line choose the account and enter the debit or the credit. Add as many lines as it needs.
  4. On a Receivables line, choose the customer; on a Payables line, the vendor. Their ageing then agrees with the ledger.
  5. When debits and credits agree, choose Post it, or Save as draft to post it later. The totals of each side show above the buttons.

What a journal cannot do

  • Post to the Bank accounts group. Choose the bank account itself, so its balance and statement show the money.
  • Be written in another currency. Convert the amounts at the day’s rate and enter them in rupees.
  • Go into a locked period. A journal that moves a bank also needs Banking open for that day.
  • Undo a transfer, a charge recorded from a bank statement, a depreciation charge or anything the books made themselves. Each is taken back on its own screen.

A posted journal is never edited. Choose Reverse: a second entry, dated today, puts every line back the other way, and both stay in the books. Posting needs the right to approve journals.
