Tags

Naming something before it deserves a field, without ending up with four spellings of it.

A tag is free text on a record, on purpose: it names something before anybody has agreed it is worth a field. “Priority”, “Repeat customer”, “Site visit needed”, “Chase in March”.

Putting them on

  1. Open any lead, customer, company, deal or task and find the Tags box.
  2. Type, and press enter. What is already in use is offered as you type, so the same thing gets the same name.
  3. To tag several at once, tick the rows in a list and choose Tag — add or remove, in one go.

Bulk tagging only touches the records you are allowed to change. One you can see but not edit is skipped rather than quietly tagged, and the count says so.

Seeing them

Every list with tags offers a Tags column. It is off until you switch it on from the column chooser, because a column costs width on a list that may not want it. A tag’s colour comes from its own name, so “Urgent” looks the same on a lead as on a deal.

Filtering by them

Filters offer has, does not have and is empty on tags, and they combine with everything else — “customers tagged Repeat, in Maharashtra, with nothing raised since March”.

Fixing one everywhere

From the tag box on a list, choose Rename or remove a tag everywhere. Renaming updates every record in every module at once; a record already carrying both names keeps one rather than ending up with a duplicate. Removing takes the tag off everything and leaves the records alone.

Renaming or removing a tag everywhere needs permission to change fields, because it edits records across the whole business. Applying one needs only permission to edit that module.

Where they work

Leads, customers, companies, deals and tasks; projects, project tasks, vendors, items and expenses; sales and purchase documents; and any module you made yourself.
