Fields, rules and where they apply

Adding your own fields, renaming ours, and deciding when each one shows.

Every module’s form is a list of fields you control, under Settings → Fields & rules. Ours can be renamed, reordered and hidden; yours can be added beside them and behave identically.

Adding a field

  1. Choose the module at the top — including any module you made yourself.
  2. Choose Add a field.
  3. Pick the type: text, number, money, percentage, date, date and time, checkbox, dropdown, multi-select, person, team, lookup, e-mail, phone, web address, rating, tags or colour.
  4. Say whether it is required, whether it must be unique, and whether it shows in the list.
  5. On leads, customers and vendors, say where it shows: on the main form, or on the Additional details tab.
  6. Save. It is on the form, in the filters and in the import immediately.

The Additional details tab

Leads, customers and vendors keep their optional extras on an Additional details tab, on the form and on the record. Any of their fields can be moved onto it or off it, from the field itself or with the folder button beside it in the list; on vendors, the extra numbers and emails, More details and the fields you add. See Add your own fields.

Rules

A rule decides when a field shows, when it is required, and what it is preset to — based on the values of other fields. “Show Lost reason only when the stage is Lost”, “require PO number when the value is over ₹1,00,000″.

Fields that apply to some records and not others

A project task field can belong to one project rather than all of them. Set that where the field is defined, so the tasks under Project A can ask for something the tasks under Project B do not.

Borrowed and calculated fields

  • Linked — a field that already exists on another module, reached through a relationship. Put Industry from Customer onto Deal and it fills itself in.
  • Rollup — a count or a total of related records.
  • Formula — a value worked out from other fields on the record.

Renaming a field changes what it is called everywhere — the form, the list, the filters, the import and the export. Nothing is stored twice, so nothing goes out of step.
