Converting a lead no longer leaves its work behind

You convert a lead into a customer, open the customer, and the three tasks somebody had set for it are gone. They were not deleted. They were still attached to the lead, which, having just been converted, no longer appears in the leads list either. So the work was on neither screen. This is fixed, and the conversions you have already made have been repaired for you.

What you were seeing

Somebody works a lead for a fortnight. They log calls, set a task to send the quotation, plan a site visit, attach the photographs from it. Then the lead says yes and it is converted into a customer.

Open the new customer and the Tasks tab is empty. So is Visits. The quotation raised while it was still a lead is not under Quotations. The site photographs are not under Files.

Nothing was deleted. All of it was still attached to the lead. But a lead that has been converted is deliberately taken out of the leads list. Otherwise the same business sits in your pipeline as something still to chase while it is also a customer, and your pipeline total counts it twice. That is correct behaviour on its own. Put together with the above, it meant the work was reachable from neither side: not on the lead, because the lead is no longer listed; not on the customer, because nothing had ever told the customer it existed.

What the conversion was actually doing

✎

It carried the conversation

Notes, logged calls, emails, the timeline, and the people assigned: all of that was copied to the customer, correctly, and always had been. The conversion was written to preserve the conversation that won the business, and it did exactly that.

◉

It carried nothing else

Tasks, visits, quotations and attachments were never part of it. Not a recent break: they had never been carried. The word in the code was “conversation”, and the conversation is precisely what it moved.

✗

So the trail stopped at the handover

The question a converted account cannot answer is the useful one: what did we already promise this customer while they were still a lead? That answer was sitting on a record nobody could find.

What happens now

A task, a visit and a sales document can each belong to a lead and to a customer at the same time. So converting no longer copies them. It gives them their second name and keeps the first.

That distinction matters. If the conversion duplicated a task, two people would be ringing the same person about the same thing, and every count on every report would read double. Instead there is one task, and it now appears on the customer, on the lead it came from, on the task board, in somebody’s “my tasks”, and in the reports, all of them the same single task.

An attachment is the one exception, because a file can only be filed under one record. There, the conversion files the same stored file under the customer as well. No file is duplicated on disk, and removing it from one record never affects the other.

The conversion also now tells you what it moved. It says “3 tasks, 1 visit and 2 files carried across” rather than leaving you to check.

Tabs that were there all along, and one that was lying

Checking every tab on a customer turned up something worse than a missing tab.

The Payments tab has been reporting “No payments yet” on every customer, whether or not they had paid you. The screen was asking for a list the server had no such thing as, the request failed every time, and the screen treated a failed request exactly as it treats an empty one. There was no error anywhere, just a calm, confident, wrong answer about your own money. That tab now exists properly and shows payments received.

Underneath it, the rule that produced that lie is fixed everywhere: a list that could not be loaded now says so, and repeats what the server said, instead of quietly claiming there is nothing there. That applies to every related tab in the product, not only the one that was broken.

Three tabs were also being served and never drawn. Visits now appears on both leads and customers, and Proforma invoices and Contacts now appear on customers.

Does this affect anything you already have?

Yes, and in your favour: you do not need to do anything. Every conversion made before today has been repaired. The tasks, visits, quotations and files that were stranded on those leads are now attached to the customers they became.

So some customers will show records today that were not there yesterday. If a customer suddenly has an open task or a visit on it, that is this repair, not something new that somebody entered. The records themselves are unchanged: same dates, same owners, same status.

Counts on those tabs will go up, and they were the ones that were wrong. A customer that showed no visits and had three now shows three.

Nothing was deleted, nothing was duplicated, and no lead lost anything. Every converted lead still shows its own tasks and visits exactly as before, which is the point: you can still see what was done while it was a lead, and what has happened since it became a customer.

The Android app

The repair to your existing records happened on the server, so it is already done for you however you sign in.

The new tabs and the corrected empty-list behaviour are part of the screens, and the app carries its own copy of those. Install version 1.3.16. Settings → App update shows which build you are on.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
