What it does

Four shapes come out of one mechanism rather than four features. No approval is no rule. Simple is one level. Multi-level is several, asked in order, where the next is not asked until this one agrees. Custom is any of those with a condition deciding when the rule applies at all.

Who approves

◉

A named person

When it is genuinely one person who signs.

◈

Anybody holding a role

Whoever is doing that job this month.

◍

Anybody on a team

For a group who cover for each other.

⌸

Whoever they report to

The commonest rule of all, and the one nobody wants to maintain as a list of names. It follows the organisation tree, so it keeps working when somebody leaves.

What it will not let you do

⚑

Approve your own work

Refused unless a business explicitly allows it. That is the thing an approval exists to prevent.

▤

Send it anyway

Enforced where a document leaves the building (sent, confirmed, issued) rather than on save. Writing one nobody has agreed to is fine; putting it in front of a customer is what needs the signature.

⏱

Rewrite history

The levels are copied onto the request when it is raised, so editing the policy next month does not change what was asked of whom last month.

⌕

Lose track of it

Waiting on you lists everything you can decide right now, and the document itself says what is waiting and on whom.

Does this affect anything existing?

Nothing needs approving until you add a rule. Set them up in Settings → Approvals.

Rejecting at any level ends the chain rather than passing it on, and the levels after it are marked never asked rather than left looking as though they are still waiting.

Pricing

Start with what you need. Grow into the rest.

Per user, per month. Every plan carries the whole product’s foundations (custom fields, roles, reports, documents and notifications) and differs only in how many modules are switched on. Change plan whenever you like; nothing is re-entered and nothing is lost.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
