A calendar and a telephone, on the row that owes them

The list could tell you what stage a lead had reached. It could not tell you that you owed them a call on Thursday.

Two marks

A list says who somebody is and what stage they reached. It does not say that two of them have a call promised for Thursday and one has a task that was due last week, which is the thing anybody scanning the list is actually looking for, and until now the only way to find out was to open every record in turn.

So: a calendar where a task is open, and a telephone where a call is promised, on leads, customers, deals and tasks, in the list and on the board. Both are links: the calendar opens the record’s Tasks tab and the telephone opens its Activity tab, because saying something is late and then dropping you on the overview to go and find it is half an answer. Each takes the colour of the earliest one still outstanding: dark red once the day has passed, dark orange on the day, plain grey while it is still ahead. Where more than one is waiting the count sits beside it, and hovering says which day, because a red icon says late and only words say late since when.

Nothing outstanding, nothing shown. A row with no mark has nothing owed on it, and that is the point: the eye should be drawn to the few rather than filtered through the many.

On a board the card also carries the date it is judged by, in the colour it has earned, and keeps its white background. A board of forty cards washed red and orange is a board where colour has stopped saying anything, and the column a card sits in is already doing the work a background would do. Projects and project tasks get the date colour on their boards too.

A call can now be promised, not only recorded

For the telephone to be able to go out again, an activity needed something it never had: a status. Everything on a record’s timeline until now was an account of something that had already happened. A call put in the diary for Thursday is neither done nor a task. It is a promise.

Log a call now plans one as well as writes one up, and the entry it makes carries Mark done and Move on the row you are already looking at rather than behind an edit dialog. Three clicks away is how a promise stays outstanding, and a promise you cannot move is one you can only break. Marking it done is what takes the telephone off the record in the list.

Two things that follow

☎

A call, and only a call

An email was sent, a note is written, a payment landed. And anything else you want to remember to do is a task, which already has a due date, an owner and its own place in the list. A second way to plan work is a second place to look for it. So the telephone means one thing exactly: a call is owed.

◷

A promise is not contact

Planning a call does not move “last contacted”. Nobody has spoken to them yet, and moving that date on a promise is how a lead that has heard nothing for a month looks freshly attended to.

Does this affect anything existing?

Every activity already on a record is history, and history is done. Nothing already logged gains a mark, and no list suddenly fills with red. The marks appear only as somebody starts planning calls and as open tasks come due.

Nothing is written differently and nothing is migrated beyond one new column. Tasks were already there and already counted; the list simply says so now.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
