Books that add up: no missing numbers, nothing left orphaned

A quotation, a sales order and an invoice are one commitment at three stages. Until now the moves between them were only loosely held, so a number could go missing and an invoice could outlive the order it came from.

What was wrong

A sales document is numbered the moment it is created. That makes the number a statutory sequence rather than a label, and a sequence with a hole in it is a question an auditor asks and nobody can answer.

An older draft could be deleted while newer documents stood after it, and the number it held simply vanished. Cancelling had the mirror of the same problem: a sales order could be withdrawn while an invoice raised from it still stood, leaving the invoice descended from something that no longer existed.

And every business was made to raise a sales order between a quotation and an invoice, whether or not it had any use for one.

What changed

⌗

Only the newest may be deleted

The numbers either side are already on documents somebody has been sent. Deleting from the middle is refused, and the message names the document that came after.

↩

The number goes back

Deleting the newest draft hands its number to the counter, so the next one raised reuses it instead of skipping it. It is only wound back when that document really holds the last number issued, so two people deleting at once cannot wind it back twice.

⛌

Issued means cancel, not delete

Anything that has gone out keeps its number on record. Cancelling is the honest move and it is always available while nothing stands on it.

⛓

Nothing is withdrawn from under something live

A quotation with a live sales order against it, or a sales order that has been invoiced, cannot be cancelled. The refusal names what stands on it, so the order of unwinding is obvious.

₹

A paid invoice is reversed, not cancelled

Money has come in. It is reversed with a credit note, which is the record the books need.

⊘

A cancelled document carries nothing forward

A withdrawn quotation can no longer be turned into an order or an invoice. It was offering a convert button that produced an error.

Which route your books take

A sales order earns its place when something is delivered over time. When it does not, it is a step that costs a number and a click. Settings → Plugins → Sales documents now asks what a quotation becomes.

  • A sales order, then an invoice raised from that (the default, and unchanged for anyone already working this way)
  • An invoice directly from the quotation, with no order in between
  • Either, for businesses that do both depending on the customer
  • Both directions are held to the answer: the route not in use is refused by the server and never offered in the menu, which is decided on the server and rendered rather than guessed at

Does this affect anything existing?

No data changes. Every existing document keeps its number, its status and its links.

One behaviour changes for everybody: deleting a draft that is not the newest of its kind is now refused. Cancel it instead. The number stays on record, which is what an audit expects to find.

The revisions setting has also moved. It was under how tax is displayed, which is not where anybody would look for it; it now sits in its own Documents card alongside the route setting.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
