Stock moved and the serial numbers stayed behind

Move a hundred serial-tracked machines from Mumbai to Jaipur and the quantities were right, while the register went on saying all hundred were still in Mumbai. Four paths had the same fault.

The numbers were right. The register was not.

A serial number is how you answer one question: where is this exact unit, and who has it now? Everything else about serial tracking exists to keep that answer true.

Four paths moved serial-tracked stock without recording which units had moved. The quantities were always correct (stock in, stock out, balances right), so nothing on any screen looked wrong. The register simply went on naming the same units in the same places, indefinitely.

That is the worse of the two failures. A wrong number invites a recount. A confident wrong answer does not.

The four, and what each one lost

⇄

Transfers

Moving stock between your own warehouses recorded the quantity and nothing else. A hundred units left Mumbai and arrived in Jaipur, and every one of their serial numbers was still filed under Mumbai. Now the transfer asks which units are on the lorry, and offers them, because the software already knows which ones are in the source warehouse.

📦

Shipments

The serious one. Which unit went to which customer is what a warranty claim is settled with a year later. A machine could be picked, packed, shipped and invoiced while the register said it was still on the shelf. The serials are now asked for on the picking list, which is the one moment somebody is holding the units.

▤

Stock counts

An adjustment that found two more, or two fewer, changed the quantity and left the register naming exactly the units it named before. It now asks which, and asks the right question in each direction: which are gone, chosen from what is actually in that warehouse, or which turned up, scanned.

⚙

Assemblies

Both sides were missing. A machine built this morning has no serial until somebody gives it one, and the build screen is the only moment anybody knows what it is. Both the components going in and the finished goods coming out are now recorded.

Leaving a warehouse is not leaving the business

Underneath all four sat a smaller fault with a longer reach. Every outbound movement was recorded against the unit as sold. That is true of a shipment and false of everything else: a unit moved to another branch has not been sold to anybody, and one consumed building a table has not either.

Outbound movements now say what actually happened: in transit, consumed, written off, returned. Only a real sale carries a sale date, so a branch transfer no longer reads as a sale in anything that counts them.

And while a unit is in transit it is in no warehouse. Saying it is still in the one it left is the answer that sends somebody to the wrong shelf.

It offers, rather than asks

Wherever the software already knows which units are available (a transfer out of a warehouse, a shipment off a shelf, a count that came up short), it lists them and you pick. Typing a serial the system could have offered you is work it should have done.

Where the units are genuinely new (goods received, a machine just built, stock that turned up in a count), there is nothing to offer, and the box takes a scanner.

Does this affect anything you already have?

Movements recorded before today are unchanged, and no serial data was lost: what was missing was never written in the first place. If your register has units filed in the wrong warehouse because of a past transfer, a stock count will put them right, and it will now ask you which ones.

From today a serial-tracked item cannot be transferred, shipped, counted or built without saying which units are involved. That is a refusal where there used to be a silent gap, and it is the point.

1 GB storage per workspace (organisation)

Only want this one module?

Individual modules are sold on their own alongside the plans. See every module’s price.

What about storage?

A single module includes 1 GB of storage per workspace (organisation) and Full Suite includes 5 GB per workspace (organisation): documents, attachments, file versions and photographs, counted together for everyone in it, not per user. Add more at any time in tiers, or move to Full Suite and take the larger allowance with it. Nothing is deleted if you run close; uploads are refused with a reason, and what you already have stays exactly where it is.

Annual or monthly?

Both. Annual works out cheaper per month and is charged once at the start; monthly costs a little more and can be stopped at the end of any cycle. The card shows the per-user-per-month figure on both, so the two are comparable at a glance rather than by arithmetic.
