Every number in a spreadsheet template is a formula, so the sheet keeps working when you type over it. Amounts show the Indian way, 1,00,000 and 1,00,00,000. Sales and costing templates start with a few sample rows, marked as samples; tax and salary templates start empty, because a made-up figure in a GST working or a salary sheet is one somebody could file or pay.
Sales pipeline
One row per open deal: deal, customer, owner, stage (a dropdown), value, close date and chance. Weighted is value times chance, what the deal is worth today. Example: a deal of 8,50,000 at 50% is weighted at 4,25,000. The totals add up value and weighted value.
Quotation costing
Each line has a quantity, your cost and the margin you add. Price each is cost times one plus the margin, rounded to the paisa; Amount is quantity times price. GST is worked out from the rate in cell B4 (18% to start) and added to the subtotal.
| Line | Working | Amount |
|---|---|---|
| Printed cartons | 3.40 × 1.24 = 4.22 each, × 50,000 | 2,11,000 |
| Foil stamping | 0.60 × 1.33 = 0.80 each, × 50,000 | 40,000 |
| Design and plates | 12,000 × 1.25 | 15,000 |
| GST at 18% | 18% of 2,66,000 | 47,880 |
| Total to quote | 3,13,880 |
GSTR-3B working
A row for each month from April. Type in taxable sales, output tax and input tax credit from Books. Tax to pay is output tax less input credit less any credit carried from last month; when credit is more than tax, nothing is paid and the rest is carried to next month. For a business selling only inside its state, half of the tax to pay is CGST and half SGST.
| Month | Output tax | Input credit | From last month | Tax to pay | To next month |
|---|---|---|---|---|---|
| July | 2,23,200 | 2,48,000 | 0 | 0 | 24,800 |
| August | 1,95,300 | 1,21,400 | 24,800 | 49,100 | 0 |
Salary sheet
The rates sit at the top in yellow cells: PF 12% on basic up to 15,000 a month, ESI 0.75% for the employee and 3.25% for the employer while gross pay is up to 21,000 a month, and professional tax of 200 a month. They change by law and by state, so check them with your accountant. Each person’s row works out gross pay, PF, ESI, professional tax, net pay and what the employer adds.
| Person | Gross | PF | ESI | Professional tax | Net pay |
|---|---|---|---|---|---|
| Basic 20,000, HRA 8,000, other 2,000 | 30,000 | 1,800 | 0 (over 21,000) | 200 | 28,000 |
| Basic 12,000, HRA 4,800, other 1,200 | 18,000 | 1,440 | 135 | 200 | 16,225 |
Expense tracker and stock count
The expense tracker has a line per payment, with the head chosen from a list, and a second sheet, By head, that adds the payments up for each head. The stock count shows the books’ quantity beside what was counted, and the difference.
