Apps gives nobody anything new. Every file is a Documents file, so what you can see and change in an app is exactly what you can see and change in Documents.
| To | You need |
|---|---|
| Open Apps | Apps in your role. Every team role has it; customer and supplier logins do not. |
| See a file | With Documents: View (from your role, or given to you yourself): your own files, and files shared with you directly or in a folder shared with you, your team, your role or everyone. Without it: only the files you made in Apps, nothing else of the business’s. |
| Make a file | Apps: Create. With Documents: Create you choose the folder in Save in, and need edit access to it. Without it there is no Save in: the file is kept in your own files, under its app. |
| Upload a newer copy, name a version, bring one back | Always on files you made. On anybody else’s: Documents: Edit and edit access to the file. |
| Download | Always on files you made. On anybody else’s: downloads allowed on the file or folder it was shared from. |
The business owner, and anybody given Documents: Manage, can see and change every file, as in Documents. Everybody else sees their own files and what is shared with them, nothing more; somebody with Apps but not Documents sees only what they made. Change who has Apps and Documents in Settings, Roles, or for one person in their own permissions.
