The workspace email is the one address for the whole business, such as info@. In Settings › Email › Workspace email, Who uses the workspace email decides who reads what comes in to it and who may send from it. The two always go together.
| Choice | Who reads it and sends from it |
|---|---|
| Private | Only the business owner. |
| Everyone | Every member of staff. |
| Chosen people | Only the people you tick, and the owner. Nobody else sees that mail or can send as the workspace address. |
Until somebody saves a choice, it is used by the owner, everybody on the Administrator and Manager roles, and anybody who sent from it in the last 90 days, so nobody who relies on it today is cut off.
What it changes
- The workspace mail appears in the mailbox, its search and its counts only for the people chosen.
- Only they see the workspace address in the From box, and only they can send, reply or forward from it, from the mail panel, a record, a quotation or a bulk email.
- Somebody not chosen sends from their own connected address. Without one, they are asked to connect it or to ask an administrator.
- The shared team mail (Give to, team notes) is these same people.
Who reads whose mail, beside it, still decides who reads colleagues’ own mailboxes. It does not open the workspace mailbox.
