A tiles showroom in Jaipur works with Ar. Neha Kapoor of Kapoor Design Studio. Rohan Mehta looks after her. This is how one of her referrals runs through JAI CRM, with the figures her page shows.
14 October: the referral
Neha sends the Sharmas. The salesperson adds a lead, Sharma Residence, phone 98290 11111, and chooses Neha in Referred by. JAI CRM points out that Vikram Builders referred a lead with the same number earlier that day and asks; the owner knows the Sharmas came for Neha’s design and presses Give it to Ar. Neha Kapoor.
The same day: a customer and a deal
The lead converts to a customer with a deal. Both are credited to Neha, dated 14 October; her window runs to 14 October 2027.
A quotation, an order and an invoice
A quotation is raised for Italian marble for the living room: Rs 3,20,000 plus 18% GST, Rs 3,77,600. It is accepted, becomes a sales order, then an invoice. Each is credited to Neha without anybody choosing her: the customer was hers, and each document kept the partner of the one it came from.
A part payment
The Sharmas pay Rs 2,00,000. Neha’s page, for the last 12 months, now reads:
| Figure | Value | Why |
|---|---|---|
| Referred | 4 | Sharma Residence and three other leads she referred this year. |
| Became customers | 1 (25%) | Sharma Residence. |
| Deals | 1 | The Sharmas’ deal. |
| Quoted | Rs 3,77,600 | The accepted quotation. |
| Invoiced | Rs 3,77,600 | The invoice it became. |
| Collected | Rs 2,00,000 | The part payment. |
| Collected before GST | Rs 1,69,491.53 | Rs 2,00,000 less its share of the Rs 57,600 GST on the invoice. |
A correction
Later it emerges that Vikram really did bring the Sharmas first. Rohan opens the deal, presses Change, chooses Vikram Builders and writes why. The deal is now Vikram’s, and its history says so. The quotation and invoice stay Neha’s until somebody changes them too, because each record carries its own answer.
What this example shows
- Nobody chose Neha after the lead: the customer, deal, quotation, order and invoice were all credited automatically.
- The figures are worked from money actually received, and before GST for the commission figure.
- A correction is visible and explained, and does not rewrite the documents behind it.
When the rest is paid
If the Sharmas pay the remaining Rs 1,77,600, Collected becomes Rs 3,77,600 and Collected before GST Rs 3,20,000: the full value of the marble without the tax. A credit note against the invoice would bring Invoiced down by its amount; it carries Neha’s name too, because it was made from her invoice.
