A rule is a sentence about when it applies, and a list of what should happen. “Somebody asks for a price or a quotation” with Mark important and Draft a reply is a rule. Open Rules in the mailbox to write yours, or add a set of starter rules for your kind of business and change them.
What a rule can do
| Action | What happens |
|---|---|
| Mark important | It is marked important for you. |
| Archive | It leaves your Inbox, kept in All email. |
| Mark done | It leaves To reply until something new arrives. |
| Draft a reply | A reply is drafted, following what you wrote under “What the reply should say”, and waits in Drafts. It is never sent. |
| Make a lead | A stranger becomes a lead, through the lead form’s own rules. |
| Tell me | You are told on the bell and on your phone. |
| Forward | It is forwarded from your own mailbox to the one address you typed into the rule, such as your accountant. At most 50 a day per rule. |
How a rule is chosen
Each new email that comes into your mailbox is read once by AI against your rules, in the order you dragged them into. The AI says only which rule fits, or none; what then happens is the rule’s own list, which you chose. When it is unsure, nothing happens. An email that asks for a rule to be applied is treated like any other email.
Test my rules on an open email shows which rule would fit and why, without doing anything. Activity lists what your rules did, newest first, with the reason, and Undo on each. Undo takes back a mark, an archive, a Done and a draft; a lead made and an email forwarded stay.
Rules run only where your business has Mail rules switched on in Settings › AI writing, and they cost one AI use per email that comes in, from your AI credits or your own AI key. Up to 30 rules each.
