Importing into TallyPrime

Masters first, then transactions, and how to read what Tally says back.

You need the two files from Making the files on the computer that runs Tally, and Tally open on the right company.

In TallyPrime

  1. Open your company. Close any other company that is open, so the import cannot land in the wrong one.
  2. Press Alt+O (Import) and choose Masters.
  3. For the file path, choose 1. Masters (its name starts with “1-tally-masters”).
  4. Where Tally asks what to do with masters that already exist, choose Modify with New Data. A customer whose address changed here is then updated in Tally.
  5. Import, and read the summary Tally shows: how many were created and altered, and any errors.
  6. Press Alt+O again and choose Transactions. Pick 2. Transactions and import.
  7. Read that summary too. Anything Tally could not take is listed under Alt+O, Exceptions.

In Tally.ERP 9, the same two imports are under Gateway of Tally, Import of Data: Masters, then Vouchers.

Reading what Tally says

Tally saysWhat it meansWhat to do
Created and altered counts, no errorsEverything went inCheck a few vouchers in the Day Book against JAI CRM
“Ledger ‘…’ does not exist”A ledger name in Set-up does not match TallyCorrect the name in Set-up, make the files again with Only what is new off, and import
“The date is out of range” or “Voucher date is missing”A voucher is dated before your books begin, or after the period open in TallySet Send nothing dated before to the date your books begin, or open the right year in Tally
“Voucher totals do not match”Debits and credits differJAI CRM never writes such a voucher. If you see this, send us the file from History
An entry under ExceptionsTally kept it out of the books until it is fixed, often a missing masterImport the masters file first, then the transactions again
“Could not set SVCurrentCompany”The company in the file is not the one openOpen the company named in Set-up, or correct the name there

Every voucher carries a key that is the same each time it is sent, so Tally updates the voucher with that key rather than adding a second one. That has been measured in TallyPrime for receipts, payments and journals. For invoices and bills it is one of the things the Beta is confirming, which is why step 5 of the testing checklist sends an edited invoice again.

Checking it went in right

  • Day Book (Alt+G, Day Book) for the dates you sent: the number of vouchers should match the counts JAI CRM showed.
  • Open two or three vouchers and compare them with the invoices here: customer, taxable value, GST split, round-off and total.
  • Bills receivable for a customer you sent payments for: an invoice paid in full should no longer be outstanding.
  • Your GSTR-1 in Tally against the GST report here, for the same month.
