Exhibitions: a channel for the stall team

Every exhibition gets its own Charcha channel: a tally that counts itself as cards are scanned, a closing report at 19:00 each show day, and a follow-up list of every hot visitor.

An exhibition is a few people at a stall scanning cards for three days, then weeks of following up. Charcha gives each show a private channel for that team, right inside the exhibition’s own page.

The stall channel

A fortnight before a show starts, Charcha makes a private channel named after it. It starts with whoever runs the show, whoever added it, and anyone already scanning there; whoever runs the show is its admin. Everyone who scans a card at the show later joins by themselves, and a line in the channel says so.

The PackPrint India 2026 exhibition with its Charcha tab open: the stall team's channel, with the pinned stall tally showing 9 cards today, 4 hot, 9 of a 120 card target, and the counts for Priya Sharma, Arjun Nair and Rohan Mehta.
Open the exhibition and choose the Charcha tab. It is the same channel you see in Charcha itself.
  1. Open Exhibitions and then the show.
  2. Choose the Charcha tab.
  3. If there is no channel yet, press Start it now. That needs a role that may change exhibitions.
  4. If there is one and you are not in it, press Join the stall team. Anyone who may see the exhibition can join.

The stall tally

Pinned at the top of the channel, the tally counts itself as cards are scanned: cards today, hot today, the total against the exhibition’s target, and each person’s cards. Nobody has to post numbers, and nobody can get them wrong.

The stall tally for PackPrint India 2026: 9 cards today, 4 hot today, 9 of 120 so far, 4 hot in all, a progress bar, and Priya Sharma with 4 today, Arjun Nair with 4 today and Rohan Mehta with 1 today.
The tally is read fresh each time it is shown, so it is never out of date.

The closing report at 19:00

At 19:00 on every day of the show, Charcha posts the day’s closing report in the channel. The same report goes to the manager of whoever runs the show, in their direct chat, with a notification.

Follow up every hot visitor

The day after the show ends, a checklist arrives in the channel with one line for every visitor marked hot. Each line goes to the owner of the lead or customer that visitor became, or else to whoever scanned the card, and the list is grouped by person.

A line ticks itself when the follow-up is logged: a call, meeting, email, WhatsApp message or text on the visitor’s lead or customer, or a follow-up task for the card marked done. Each line is due within the exhibition’s first-contact promise (48 hours unless it was set otherwise), counted from the end of the show’s last day.

The checklist Follow up every hot visitor from Plastindia 2026, two of three done, grouped under Arjun Nair: Mohan Pillai and Sanjay Kulkarni ticked, Farah Siddiqui still open, each marked Ticks itself when their follow-up is logged.
Nobody ticks these by hand. Log the call and the line ticks itself.

After the show

Thirty days after the last day, the channel is archived. Everyone in it can still read it, but nothing more can be posted and nobody new can join.

The PackPrint India 2026 exhibition on a phone, with the Charcha tab open and the stall tally in two columns: 9 cards today, 4 hot today, 9 of 120 so far and 4 hot in all.
On a phone the channel fills the screen, with the composer at the bottom.

Times follow the time zone in Settings, Organisation. If nobody marked a visitor hot, the channel says so instead of posting an empty list.
