An exhibition is a few people at a stall scanning cards for three days, then weeks of following up. Charcha gives each show a private channel for that team, right inside the exhibition’s own page.
The stall channel
A fortnight before a show starts, Charcha makes a private channel named after it. It starts with whoever runs the show, whoever added it, and anyone already scanning there; whoever runs the show is its admin. Everyone who scans a card at the show later joins by themselves, and a line in the channel says so.
- Open Exhibitions and then the show.
- Choose the Charcha tab.
- If there is no channel yet, press Start it now. That needs a role that may change exhibitions.
- If there is one and you are not in it, press Join the stall team. Anyone who may see the exhibition can join.
The stall tally
Pinned at the top of the channel, the tally counts itself as cards are scanned: cards today, hot today, the total against the exhibition’s target, and each person’s cards. Nobody has to post numbers, and nobody can get them wrong.
The closing report at 19:00
At 19:00 on every day of the show, Charcha posts the day’s closing report in the channel. The same report goes to the manager of whoever runs the show, in their direct chat, with a notification.
| Part | What it counts |
|---|---|
| Cards today | Cards scanned at the show today, and how many were hot |
| Quotations raised | Quotations made today for visitors from this show, once they are leads or customers |
| Visits planned | Visits booked today with visitors from this show |
| Today | Hot, warm and cold, the total so far, and each person’s cards |
| Asked about most | The five interests ticked most often on today’s cards |
Follow up every hot visitor
The day after the show ends, a checklist arrives in the channel with one line for every visitor marked hot. Each line goes to the owner of the lead or customer that visitor became, or else to whoever scanned the card, and the list is grouped by person.
A line ticks itself when the follow-up is logged: a call, meeting, email, WhatsApp message or text on the visitor’s lead or customer, or a follow-up task for the card marked done. Each line is due within the exhibition’s first-contact promise (48 hours unless it was set otherwise), counted from the end of the show’s last day.
After the show
Thirty days after the last day, the channel is archived. Everyone in it can still read it, but nothing more can be posted and nobody new can join.
Times follow the time zone in Settings, Organisation. If nobody marked a visitor hot, the channel says so instead of posting an empty list.
