Customise how documents print

Designs, blocks, columns, logo, colours and a CSS override — making a document look like your letterhead.

A document is the piece of your business a customer actually holds. This page is how you make it look like yours.

Everything below is in Settings → Document templates.

One template per document type

Templates are keyed on the document type. A quotation can look one way and a tax invoice another, which is usually what you want — a quotation can be warm, an invoice should be plain.

A single document can also name a different template, for the customer whose format demands something unusual. Set it on that document; everything else carries on using the default for its type.

The eight designs

Start from a design, then change what you need.

DesignSuits
ClassicTraditional, ruled, what most Indian businesses expect.
ModernCleaner, lighter ruling.
MinimalVery plain. Type does the work.
CompactLong documents that must fit fewer pages.
GST tax invoiceA strict Rule 46 layout with the HSN summary and amount in words.
InternationalExport and overseas billing.
LetterheadPrinting onto pre-printed stationery, leaving the top clear.
BrandedYour colour and logo carried through.

If you are GST registered and unsure, start with GST tax invoice. It is laid out to Rule 46, which is what an officer expects to see.

The twelve blocks

A printed document is built from twelve blocks. You choose which print and in what order.

BlockWhat it is
HeaderYour name, logo and address.
PartyWho the document is for. Billing and shipping.
MetaNumber, date, due date, reference.
ItemsThe line table.
Tax summaryRate-wise GST, split or combined.
HSN summaryGrouped by HSN with quantity, taxable value, rate and tax. Required by Rule 46.
TotalsSubtotal, tax, rounding, grand total.
BankAccount, IFSC, SWIFT, IBAN and UPI id.
TermsYour standing terms.
NotesAnything for this document.
SignatureSpace, or your signature image.
FooterThe bottom of the page.

Default terms, notes and footer text are held on the design, so you write them once rather than on every document.

The item table

Nine columns, each with its own label, width, alignment and visibility.

  • Rename Rate to Price if that is your word.
  • Hide HSN on a non-GST document — outside India it takes itself off.
  • Widen the description column and narrow the quantity, which is what most businesses want and almost no default gives you.

Look and feel

SettingWhat it does
LogoPrinted in the header.
Signature imagePrinted in the signature block.
Accent colourHeadings and rules.
Font and sizeThe whole document.
Page sizeA4, Letter or A5.
GST displayOne combined GST line, or CGST and SGST split.

When none of that is enough

There is a CSS override on the template. Anything you put there is appended to the document’s own styles, so a customer who insists on a particular look can have it without a developer.

It is CSS, not HTML. You can restyle what prints; you cannot replace the markup. That is a deliberate limit — a hand-written HTML invoice would stop getting the HSN summary and the tax splits when those change.

Printing and PDFs

  • The print view opens with the dialog already up, and waits for images first — so a logo that has not loaded does not print as a gap.
  • A PDF is drawn on the server by a PDF library rather than a headless browser. It is a real file, and plainer than the print view.
  • Up to 200 documents can be zipped into one PDF bundle.

Getting it right, in order

  1. Upload your logo in Settings → Business profile first. Everything else builds on it.
  2. Pick the design closest to what you want.
  3. Turn off blocks you do not need.
  4. Fix the item columns — this is where most of the improvement is.
  5. Set your terms and footer once.
  6. Print one real document and look at it on paper. Screens lie about margins.
