Raise a quotation

Creating one, pricing the lines, and sending it.

A quotation is the start of the document chain. Everything after it — the order, the delivery, the invoice — can be raised from it without retyping a line.

Steps

  1. Go to Sales documents → Quotations and choose New.
  2. Pick the customer. Their billing and shipping details, currency and payment terms come with them.
  3. Check the date and the valid until date.
  4. Add lines. Choose an item to bring its rate, HSN and tax treatment, or type a one-off description.
  5. Set quantity, rate and discount per line. The tax is worked out as you go.
  6. Add any charges — freight, packing, insurance — and say whether they are taxable.
  7. Check the totals, add your notes and terms, and save.

Sending it

  1. Open the saved quotation and choose Send.
  2. The customer’s e-mail is filled in. Add cc or bcc if you need to.
  3. Pick a template or write the message.
  4. The PDF is attached automatically.
  5. Send — the e-mail is recorded against the customer.

The tax split is decided by place of supply, not by you. If the customer is in your state it is CGST and SGST; otherwise IGST. If that looks wrong, check the state on the customer and in Business profile.
