The first task and the handover

The task the new owner finds, when it is due, and the handover note that starts the deal's Charcha conversation.

A deal that simply appears on somebody’s list is easy to ignore. Step 5 gives the new owner something to do and everything they need to do it.

Step 5, Their first step, with Task set to Call about the modular kitchen, Due after 1 day, Kind Call, and Start the deal's Charcha conversation with a handover note ticked.
Step 5: a call the next working day, and a handover note in Charcha.

The task

Type what the new owner should do first, such as Call about the modular kitchen, how many days after the deal opens it is due, and its kind from your task types. The task is made for the new owner, linked to the new deal and the customer, and they are told about it as for any task given to them. With Working days only ticked in step 2, the due date skips the days your business does not work. Leave the task empty for no task.

The handover note

With the handover ticked, the new deal’s Charcha conversation is started for it, exactly as Charcha’s own Start button would: a private group named after the deal, with the deal pinned at the top. The new owner is in it. The first salesperson is added too if their role lets them open the new deal; otherwise they are left out, because Charcha only ever includes people who can open the record.

The note is written by the conversation itself, not in anybody’s name. It says:

  • who handed it over, from which deal, and through which rule;
  • the customer, the contact person and their number;
  • the first deal’s value and stage;
  • the latest quotation on the first deal, its total, and up to six of the things on it;
  • the site address, the first deal’s next step, and the start of its notes.

Anybody who can open the deal can join the conversation later and read the note, and the first salesperson can be asked a question right there.

When there is no owner

A task and a conversation need somebody to give them to. In the rare case that nobody at all is found for the new deal, it opens with no task and no conversation, and its History says nobody was found. Give it an owner and add a task by hand.

What the note leaves out

Files, comments and the first deal’s own conversation stay with the first deal. The note is the summary a colleague would give at the desk; anything more is a question to ask in the conversation.
